Toothpaste inspection

Send request

Toothpaste inspection is a comprehensive quality control procedure carried out at various stages of the logistics chain. It significantly reduces trade risks related to non-compliance with product specifications, discrepancies in quantity, or incomplete accompanying documentation during international import/export operations.

CISS GROUP provides professional toothpaste inspection services for leading chemical and pharmaceutical manufacturers, as well as international trading companies. Inspections are performed at production sites, intermediate storage warehouses, and seaports across the globe.

Toothpaste, as a chemical consumer product, must strictly comply with safety and quality standards. Improperly manufactured or stored toothpaste may cause health risks rather than provide intended hygiene benefits. According to the U.S. Food and Drug Administration (FDA), toothpaste may contain harmful substances such as residual diethylene glycol (DEG), a chemical used in antifreeze and industrial solvents.

To ensure safety and compliance, gas chromatography-mass spectrometry (GC-MS) methods are used to detect residual DEG levels. Each toothpaste brand may include a unique combination of ingredients such as abrasives, foaming agents, flavoring agents, fluoride, humectants, preservatives, whitening agents, and water.

Highly qualified inspectors and certified laboratory technicians from CISS GROUP conduct inspections at any point within the supply chain.

The main stages of toothpastes inspection:

Incoming and outgoing inspection

Inspections are conducted during production, delivery, and storage of toothpaste at pharmaceutical plants, warehouses, or within shipping containers.

Toothpaste must be transported using enclosed, sanitary vehicles that meet cargo transportation regulations. Storage temperatures must remain between 0°C and 25°C, avoiding direct sunlight and heat sources. Inspectors evaluate storage conditions and check the product for packaging integrity, dryness, absence of foreign matter, and freedom from cross-contamination.

Container cleanliness and suitability inspection

Prior to loading, containers are visually inspected to confirm cleanliness and suitability for toothpaste transportation. Inspectors verify the condition of internal surfaces, refrigeration units, temperature sensors, locks, hinges, and rubber seals on container doors.

Supervision during loading and sampling

During loading, the inspector monitors packaging condition, label accuracy, box content, and packaging unit count. Gross and net weights are recorded. Random sampling is conducted for laboratory analysis, ensuring that tested samples represent the entire batch. Upon completion, containers are sealed, and inspection reports are generated with real-time client access. CISS GROUP provides 24/7 inspection services upon request.

Packaging and labeling requirements

Packaging:

  • Toothpaste must be sealed in containers that are defect-free and do not compromise product integrity during shelf life.
  • Each container must be enclosed in a protective outer box or wrapping.

Labeling: Each toothpaste container must display the following:

  • Product name and registered trademark
  • Complete list of ingredients
  • Product volume and net weight
  • Batch number (coded or numeric)
  • Manufacturer’s name and address
  • “FLUORIDE TOOTHPASTE” (3mm lettering), if applicable
  • Manufacturing and expiration dates
  • Storage and handling instructions
  • Country of origin
  • Instructions for safe and proper use

Laboratory testing of toothpaste quality

Testing is carried out exclusively in accredited laboratories, in full compliance with international quality and safety standards.

Standard quality parameters include:

  • Density and viscosity
  • Color and odor
  • pH level (acid-base balance)
  • Abrasiveness
  • Ingredient composition

In addition to routine quality assessments, toothpaste is tested for:

  • Microbiological content (mesophilic aerobic and facultative anaerobic microorganisms)
  • Heavy metals (Pb, As, Cd, Cu)
  • Fluoride content (in fluoride-containing products)
  • Toxic components (e.g., disodium EDTA, lauryl sulfates, parabens)

Upon request, organoleptic testing is also conducted during loading, evaluating appearance, smell, and texture.

Photo and video documentation

Each inspection stage is documented using timestamped photos and videos. Upon completion, clients receive a comprehensive photo and video report detailing all steps taken during inspection.

Certification and document authentication

Based on inspection results, CISS GROUP issues official inspection certificates and reports, each containing a unique QR code that links to a secure web page with downloadable PDF copies. All documents are digitally signed with cryptographic protection, ensuring their authenticity and preventing unauthorized alterations.

These certificates meet the requirements of international banks and are frequently used to support trade financing and letters of credit.
